Overview

In OneStrata, certain settings and features are managed by FreeWheel. To enable or disable any of the following settings or features, contact your OneStrata representative.


General Settings

The following table displays FreeWheel-managed general settings:

Settings

Number and Date Formatting

How numbers and dates are displayed in the OneStrata UI.

  • American formatting:
    • Numbers: 1,000.00
    • Dates: MM/DD/YYYY

  • British formatting:
    • Numbers: 1,000.00
    • Dates: DD/MM/YYYY

  • European formatting:
    • Numbers: 1 000,00
    • Dates: DD/MM/YYYY

Settings

Master Data Source

Whether certain types of reference data records and all master data entities are defined and managed within OneStrata, or in an external system (like SBMS) and pushed to OneStrata.



  • Internal (managed in OneStrata)
  • External (managed outside of OneStrata)

This setting applies to Media Type records, Cost Category records, and all master data entities.

If the master data source is internal:

  • Create: New records/entities are created in OneStrata
  • Edit: Some record/entity fields can be edited in OneStrata
  • Set validation dates on: Validation dates for records/entities are set in OneStrata
  • Deactivate: Existing records/entities are deactivated in OneStrata

 If the master data source is external:

  • Create: New records/entities are created in the external system
  • Edit: Some record/entity fields can be edited in OneStrata
  • Set validation dates on: Validation dates for records/entities are set in the external system
  • Deactivate: Existing records/entities are deactivated in the external system

User permissions

Apply All Entity Access to New Users

Whether or not newly created users are automatically assigned access to all entities.

If a user does not have access to a particular Enterprise, Agency, Business Unit, Client Group, or Client entity, they cannot view or edit campaigns associated with that entity or any of its children entities.

If this setting is enabled:

  • Newly created users are automatically assigned access to all entities.

If this setting is not enabled:

  • Newly created users must have their entity access level manually assigned.

User permissions

Apply All Medias to New Users

Whether or not newly created users are automatically assigned access to all Media types.

If a user does not have access to a particular Media type, they cannot view or edit campaigns associated with that Media type.

If this setting is enabled:

  • Newly created users are automatically assigned access to all Media types.

If this setting is not enabled:

  • Newly created users must have their media access level manually assigned.

Features

Features are enabled at the enterprise level, which may differ from individual user-level permissions.

For example, a OneStrata enterprise may have user role customization enabled, but if a specific user does not have the permissions to manage users, they will not be able to open the Administration > User Management > User Roles tab.

Analytics

OneStrata Analytics

Analytics (also known as OneStrata Analytics) enables users to query information across the entire OneStrata platform and build customized visualizations, reports, and dashboards that can be shared internally and externally.

If this feature is enabled:

Campaigns and Orders

Custom Field Manager

Custom Field Manager enables users to create new fields of varying types and apply values to those fields. Optionally, these values can be exported to an agency's media finance system, via the financial bridge.

If this feature is enabled:

  • The Administration > Custom Field Manager page is available.

If this feature is not enabled:

  • The Administration > Custom Field Manager page is not available.

Campaigns and Orders

Internal Seller Workflow

In the internal seller workflow, orders that are sent to an internal seller Order Partner are confirmed or rejected in Vendor Inbox by an internal OneStrata Seller user, instead of by a third-party vendor.

This enables an internal trade desk-like configuration.

If this workflow is enabled:

  • Internal seller Order Partners can be created by selecting the optional Internal Seller Workflow checkbox.

    The Internal Seller Workflow checkbox is located on the Administration > Entity Management > Entities > Order Partners > (Specific Order Partner) > Details tab, and is only available if the value of Order Approval Confirmation Setting is In System Vendor Confirmation.

  • Orders can be sent to internal seller Order Partners.

If this workflow is not enabled:

  • The Internal Seller Workflow checkbox is not available and Internal seller Order Partners cannot be created.

Campaigns and Orders

Order Grouping

Order grouping enables users to move media and non-media purchases in one order to a new order or to an existing order (for the same Order Partner).

If this feature is enabled:

  • The Manage Order action is available on the Order grid and users can regroup orders as desired.

If this feature is not enabled:

  • The Manage Order action is not available and orders cannot be be regrouped by the user.

Costs and Calculations

Allocated Workflow

In the allocated workflow, a fixed amount of budget is marked, or "allocated", for a particular media buy and any related fees.

All other costs are based off this initial allocated amount.

If this workflow is enabled:

  • Allocated media buys and allocated fees can be created and assigned.

  • Allocated media buys can be created by setting its Cost Method value to Allocated, on the Schedule grid
  • Allocated fees can be created by setting its Cost Type value to Allocated Amount, when defining the Fee record
  • Allocated fees can be assigned to media buys

If this workflow is not enabled:

  • Allocated media buys and allocated fees cannot be created.

  • Allocated media buys cannot be created; the Allocated cost method option is not available on the Schedule grid
  • Allocated fees cannot be created; the Allocated Amount cost type option is not available on Fee records

Cost Packages Workflow

A Cost Package represents a group of (secondary) Placements and/or (secondary) Media Packages that are purchased together at a single and fixed total cost, from the same vendor.

If this workflow is enabled:

  • Cost Package lines can be created and edited on the Schedule grid.

If this workflow is not enabled:

  • Cost Package lines cannot be created or edited on the Schedule grid.

Entered Fee Workflow

An Entered fee is manually added to a media schedule and has no pre-defined values; all values of the Entered fee are specified by the user within the schedule.

If this workflow is enabled:

  • Entered Fee lines can be created and edited on the Schedule grid.

If this workflow is not enabled:

  • Entered Fee lines cannot be created or edited on the Schedule grid.

Exchange Rate Workflow

Exchange Rate records are required for multicurrency campaigns that transact in more than one type of currency.

  • Enabled
  • Not enabled

If this workflow is enabled:

  • Exchange Rate records can be viewed, created, edited, and used.

  • The following areas are available:

    • The Administration > Reference Data > Exchange Rates tab.
    • The Exchange Rate section of a campaign's Overview tab.
    • The Exchange Rate section of a campaign's settings page.

If this workflow is not enabled:

  • Exchange Rate records cannot be viewed, created, edited, or used.

  • The following areas are not available:

    • The Administration > Reference Data > Exchange Rates tab.
    • The Exchange Rate section of a campaign's Overview tab.
    • The Exchange Rate section of a campaign's settings page.

Costs and Calculations

Margin Workflow

Media margins

Fee margins

There are two separate sub-parts to the margin workflow, media margins and fee margins.

  • Media margins: The ability to add a margin to media schedule buys
  • Fee margins: The ability to add a margin to fees and technology rates

Both parts of the margin workflow can be enabled, or just one part can be enabled without the other.

If the general margin workflow is enabled:

  • The Margin Actualization grid, located on the Actualization tab, is available.

  • Margin media buys and/or fees can be assigned, and the resulting margin lines can be actualized on the Margin Actualization grid.

  • If media margins are enabled:
    Margin media buys can be created by setting its Cost Method value to Margin, on the Schedule grid.

  • If fee margins are enabled:
    Margin fees can be created by setting the Client Net Rate and Vendor Net Rate values to different amounts, when defining the Fee record.

If the general margin workflow is not enabled:

  • The Margin Actualization grid, located on the Actualization tab, is not available.

  • Media margin and fee margins cannot be created.

  • If media margins are not enabled:
    Margin media buys cannot be created; the Margin cost method option is not available on the Schedule grid.

  • If fee margins are not enabled:
    Margin fees cannot be created; the Client Net Rate value of a Fee record must be equal to its Vendor Net Rate value.

Customization

User Role Customization

User roles are a collection of permissions that define which parts of the OneStrata platform a user can view or edit.

User roles are managed on the Administration > User Management > User Roles tab.

If this feature is enabled:

  • User roles can be created, edited, and assigned.

  • The Administration > User Management > User Roles tab is available.

If this feature is not enabled:

  • User roles cannot be created or edited. However, any existing user roles can be assigned.

  • The Administration > User Management > User Roles tab is not available.

Estimates and Purchase Orders

Purchase Order Workflow

Purchase orders define some amount of client budget that can be used across media types, products, and campaigns.

If the purchase order workflow is enabled, purchase order approvals can also be enabled (or not enabled).

  • Not enabled

If this workflow is enabled:

  • Purchase orders can be viewed, created, edited, and linked to media campaigns.

  • The Purchase Order grid, which is located on the Finance tab, is available.

  • If Require Purchase Order Approval is enabled, every purchase order linked to the campaign must be approved before any orders in the campaign can be sent to Order Partners.
  • If Require Purchase Order Approval is not enabled, any purchase orders linked to the campaign do not need to be approved before orders in the campaign can be sent to Order Partners.

If this workflow is not enabled:

  • Purchase orders cannot be viewed, created, edited, or linked to media campaigns.

  • The Purchase Order grid, which is located on the Finance tab, is not available

Estimates and Purchase Orders

Reassign Estimates After Committing

Whether or not the estimate that a Cost Line is linked to can be reassigned (changed to a different estimate) after the Cost Line is committed.

 

  • Enabled
  • Not enabled

If this setting is enabled:

  • The estimate that a Cost Line is linked to can be changed to a different estimate, even after the Cost Line is committed.

If this setting is not enabled:

  • Once a Cost Line is committed, the estimate that the Cost Line is linked to cannot be changed.

Financial Orders

Include Agency Currency Costs in Financial Order Exports

Whether or not Agency Currency costs and exchange rates are included in financial order exports. 

The following Agency Currency-related financial order export fields are affected:

  • Order and Billing Period levels
    • Vendor Net Cost (AC)
    • Vendor Gross Cost (AC)
    • Client Net Cost (AC)
    • Client Total Cost (AC)
  • Order level only
    • Vendor Currency to Agency Currency exchange rate
    • Agency Currency to Client Currency exchange rate
  • Enabled
  • Not enabled

If this setting is enabled:

  • Agency Currency-related fields are included in financial order exports, with their actual values.

If this setting is not enabled:

  • Agency Currency-related fields are included in financial order exports, but their values are null.

Financial Orders

Regulated Workflow 

In the regulated workflow, regulated cost categories can be created.

When a Schedule grid line with a regulated cost category is committed, a regulated order is created. Vendors charge (and are paid by) the client directly for regulated orders, so regulated orders also include client billing information.

This workflow helps agency comply with regulations like France's Sapin laws.

  • Enabled
  • Not enabled

If this workflow is enabled:

  • Regulated Cost Category records can be created.
  • Regulated cost categories can be applied to Schedule grid lines.

If this workflow is not enabled:

  • All Cost Category records are unregulated.

Reference Data

Tax Workflow

When a Tax record is assigned to a Client or Payee entity, the record indicates the amount of taxes that the entity should be charged or paid.

  • Enabled
  • Not enabled

If this workflow is enabled:

  • Tax records can be viewed, created, edited, and assigned.

  • The following areas are available:

    • The Administration > Reference Data > Taxes tab.
    • The Administration > Entity Management > Clients > (Specific Client) > Taxes tab.
    • The Administration > Entity Management > Payees > (Specific Payee) > Taxes tab.

If this workflow is not enabled:

  • Tax records cannot be viewed, created, edited, or assigned.

  • The following areas are not available:

    • The Administration > Reference Data > Taxes tab.
    • The Administration > Entity Management > Clients > (Specific Client) > Taxes tab.
    • The Administration > Entity Management > Payees > (Specific Payee) > Taxes tab.

Estimates and Purchase Orders

Allow Multiple Estimates To Be Linked To a Campaign

Whether or not more than one estimate can be linked to a campaign.

  • Enabled

  • Not enabled

If this setting is enabled:

  • More than one estimate can be linked to a campaign.

If this setting is not enabled: 

  • Only one estimate can be linked to a campaign. 

Estimates and Purchase Orders

Enable Financial Order Revisions Based on Estimate Updates

Whether or not changes to an estimate are automatically reflected in a new version of the associated financial orders.

  • Not enabled

If this setting is enabled:

  • Changes to the name, dates, or custom field values of an estimate causes all financial orders associated with the estimate to be revised (a new version of the financial order is created), even when no other element of the order has been changed.

If this setting is not enabled:

  • Changes to an estimate do not cause a revision of any associated financial orders. However, changes to other elements of the order can cause the financial order to be revised.

Export Estimates

Whether or not estimates can be exported to the Financial Bridge, where they can then be pushed—via FreeWheel's financial APIs—to an external media finance system like SBMS.

If this setting is enabled:

  • Estimates are exported to SBMS or a media finance system via the Financial Bridge.
  • The External ID field in an estimate is blank and cannot be edited.

If this setting is not enabled:

  • Estimates cannot be exported.
  • The External ID field in an estimate can be edited.

Estimates and Purchase Orders

Require Estimates for Campaign Creation

Whether or not linking an estimate to a campaign is a required part of the campaign creation process. 

 

  • Enabled
  • Not enabled

If this setting is enabled:

  • When creating a campaign, an estimate must be linked to the campaign. Otherwise, the campaign cannot be created.
  • A new estimate can be created (and linked to the campaign) during the campaign creation process.

If this setting is not enabled:

  • When creating a campaign, an estimate does not need to be linked to the campaign.
  • New estimates cannot be created during the campaign creation process, only through the Finance > Estimates page.

Financial Orders

Export Financial Orders

Whether financial orders are automatically or manually exported to the Financial Bridge, where they can then be pushed—via FreeWheel's financial APIs—to an external media finance system like SBMS.

  • Automatic
  • Manual (default)

If financial orders are exported automatically:

  • If Require Media Order Send to Vendor is enabled, financial orders are automatically exported when an order is sent to an Order Partner.
  • If Require Media Order Sent to Vendor is not enabled, financial orders are automatically exported when a schedule is committed.

Financial Order Data Grouping

The top-level grouping of the Financial Order Management (FOM) grid.
  • Campaign group
  • Estimate (default)
  • Media campaign

If the financial order data grouping is Campaign group:

  • The FOM grid displays financial orders grouped by campaign group, then by estimate, then by campaign.

If the financial order data grouping is Estimate:

  • The FOM grid displays financial orders grouped by estimate, then by campaign.

If the financial order data grouping is Media campaign:

  • The FOM grid displays financial orders grouped by campaign, then by estimate.

Financial Orders

Financial Order Export Summarization

The granularity of an exported financial order.
  • Detailed (default)
  • Summarized

If exported financial orders are detailed:

  • All information for all Cost Lines is included.

If exported financial orders are summarized:

  • Cost Line information is summarized into one line per vendor per month.

Triangulation

Locked Field When Editing Cost

Which value is locked when editing the Vendor Net Cost value on the Schedule grid.

  • Rate (the only option)

When the Vendor Net Cost value is changed:

  • The Vendor Net Rate value remains the same.
  • The Units value is automatically recalculated.

Which value is locked when editing the Vendor Net Rate value on the Schedule grid.
