Introduction

For FreeWheel, sharing large files and collaborative documents with external (non-FreeWheel/non-Comcast) users can be an issue, as attachments may exceed email size limits and may require affiliated third-party file hosting services.

This guide provides step-by-step instructions: 1) for FreeWheel to more easily share approved documentation through Comcast's internal systems (e.g. Microsoft 365, OneDrive/Sharepoint); and 2) for FreeWheel clients to access said documentation.

The intended audience for this page includes FreeWheel/Comcast employees and clients, as both must complete the below process together..

Set Up Cloud Access

.A guest account must be associated with the external recipient's email address in order to share documentation.

"Guest" refers to non-FreeWheel/non-Comcast users, or clients.

.The following steps are pre-requisites for employees.  Please complete this process before contacting the guest.

  1. Connect to the Comcast network
    1. In office or F5 VPN
  2. Navigate to myComcastAccess
  3. Select User Type: Cloud Only Guest Account and click Next
  4. Complete fields and click Submit
    1. Enter the user's external, corporate email address
    2. Note: United States is the only option at present, but will work for any location

  5. The guest must click Accept Invitation in their welcome email, then follow setup instructions
    • See "Instructions for Guests" tab above

It may take up to one week for request approval (before the guest receives the invitation).

To review the status of your request, manage users, view profiles, and other options:

  1. Navigate to https://mycomcastaccess.comcast.com/
  2. Click the menu icon (left side)
  3. Click Identity & Access Management dropdown menu

.Guests, please click Accept Invitation in your welcome email:

Guests will be prompted to complete an authentication process to confirm identity; either a call/text message or an authentication app.

Once guests have authenticated and been approved, cloud-based (e.g. Sharepoint) files and folders may be shared.

.

Sharing OneDrive Documents

This section includes instructions for FreeWheel/Comcast to complete.

Each internal system has a process to share approved documents with authenticated guests. This section reviews the process for sharing from an internal OneDrive (SharePoint) folder.

.

  1. Locate and select the OneDrive file / folder you wish to share
  2. Click Share
  3. Enter the authenticated recipient’s external email address
  4. Click Send

The guest will receive an email with a documentation link.

.The guest will receive an email with the link to access the shared file / folder:

Guests that click this link will see an option to send an authentication code to their email.  They will need this code to access the folder / document.  This process may take 2-3 minutes.

Troubleshooting and Support

This section includes instructions for FreeWheel/Comcast to complete.

In the event that the FreeWheel/Comcast guest is not able to complete the authentication process, please submit a support ticket.  The guest will be contacted with additional troubleshooting steps.  Please include the email address for the guest account and screenshots of any error messages that are observed.

Instructions for creating a support ticket are outlined on the Client Support and Notifications Hub page.
