Overview

Actualization is the process where actual delivery metrics of a campaign are received from a Supplier or a third party and compared to the original schedule. Once these delivery metrics are reviewed by the Agency, the schedule is actualized, and that information is shared with finance for approved amounts to be paid to Suppliers.

Types of Delivery Balance Roll

When actualizing, there are four ways that any under- or over-delivery balance can be distributed over future months:

Rollover TypeDescriptionVisualization
None

The under- or over-delivery balance is not distributed.

Instead, the values on the original Schedule grid line are updated.

ProportionallyThe under- or over-delivery balance is evenly distributed over the remaining months of the campaign.

Next MonthThe entire under- or over-delivery balance is carried over to the next month of the campaign.

Last MonthThe entire under- or over-delivery balance is carried over to the final month of the campaign.

When a standard Cost Line is actualized, the values in the actual columns are sent to the external financial system:

Cost Line Type / Actualization GridActual Columns

  • Actual Cost for Period
  • Actual Rate
  • Actual Units
Margin / Margin Actualization grid
  • Vendor Net Cost (VC)
  • Margin %
  • Client Net Cost (VC)

The values in the actual columns can be entered manually or copied from other columns on the Standard Actualization or Margin Actualization grid:

columns are linked, and their values are triangulated off each other.

For more information, see Apply Standard Actualization Triangulation.

The actual values are manually changed by the user.

There are two ways to manually adjust actual values:

  • Update Vendor Net Cost (VC)Margin %, or Client Net Cost (VC): These three columns are linked, and their values are triangulated off each other.

For more information, see Apply Margin Actualization Triangulation and the Margin Percentage Triangulation set.

  • Update actual delivered units: Unlock and manually update the Actual Units column.

For more information, see Apply Margin Actualization Triangulation and the Margin Actual Units Triangulation set.

There are four possible sources for the values of these Actual columns:

  • Committed
  • Site
  • 3rd Party
  • Manual

To apply a Committed, Site, or 3rd Party source, use the Apply Source button on the Standard Actualization grid.

The Site Cost and Site Units columns are populated by data retrieved from the Site source, if any.

There are two

The possible Site sources:

  • Vendor Inbox: If the Cost Line is part of an order that was sent to an In-System Order Partner, the Order Partner can send delivery data through Vendor Inbox.

  • DV360

Info

The Media source is only available for Assigned fees.

The actual values are copied from the Calculated columns:

  • Actual Cost for Period: Updated to match the value of Calculated Fee Cost.

  • Actual Units: Updated to match the value of Fee Calculated Units.

  • Actual Rate: Calculated according to the following formula:

Actual Rate = Actual Cost / Actual Units

The cost and units of an Assigned fee depend on the cost and units of the media Cost Line that the fee is assigned to.

Therefore, the media Cost Line that the fee is assigned to should be actualized before the Assigned fee is actualized.

For more information, see Actualize an Assigned Fee Cost Line.

The actual values are copied from the Calculated columns.

There are two options:

  • Vendor Net Cost (VC): Updated to match the value of Fee Calculated Vendor Cost.

  • Client Net Cost (VC): Updated to match the value of Fee Calculated Client Cost.

  • Margin %: Calculated according to the following formula:

Margin Percentage = (Client Net Cost - Vendor Net Cost) / Client Net Cost

  • Actual Units: Unchanged

For more information, see Margin Percentage Triangulation.

OR

  • Actual Units: Updated to match the value of Fee Calculated Units.

  • Vendor Net Cost (VC): Calculated according to the following formula:

Vendor Net Cost = Vendor Net Rate x (Actual Units / Rate Divider)

  • Client Net Cost (VC): Calculated according to the following formula:

Client Net Cost = Client Net Rate x (Actual Units / Rate Divider)

  • Margin %: Calculated according to the following formula:

Margin Percentage = (Client Net Cost - Vendor Net Cost) / Client Net Cost

For more information, see Margin Actual Units Triangulation.

The costs and units of an Assigned fee depend on the costs and units of the media Cost Line that the fee is assigned to.

Therefore, the media Cost Line that the fee is assigned to should be actualized before the Assigned fee is actualized.

For more information, see Actualize an Assigned Fee Cost Line.
